Custom fields are data items that are relevant to your Datagate system. You may want to store some extra information in Datagate, and retrieve it on the screen or display on an invoice.
How to configure Custom Fields
Navigate to Settings/ Custom Fields
Click "+" to add a new Custom Field
Name
Enter the name of the Custom Field.
Type
- Text Free format letters, Â numbers, symbols. Up to 100 characters
- Text Area Multiple lines of text - letters, numbers, symbols. Up to 1000 characters.

Number Numeric, includes negative and numbers with a decimal point
- Min Value - Enter the minimum value. Numbers less than this will be rejected
- Max Value - Numbers greater than this will be rejected
- Number of decimals - number of digits permitted after the decimal point

Select from the List When you want users to be able to choose from a restricted list
- Items from the list - Click "..." to add more items to the list. The screen below will display, allowing you to add items to select
- Checkbox Yes or no
- Email We will validate for a valid email address
Entity
Choose from Customers, Customer Sites, Service Items, AgreementsÂ
Default Value
The field will be pre-populated with this data for new entities only. e.g. When you create a new Customer, this Custom Field will be pre-populated, but it will be blank for existing Customers.
Required
Check this box if you require the field to be populated. When a user makes a change to a existing data in the user interface (e.g. change of Customer address on the screen), the change cannot be saved until the new Custom field has been populated. New Customers must be entered with a value in this Custom field.
Help
Enter Help text for this field. It will be displayed on the relevant screen if the user hovers their mouse over the ? icon

On the main screen for each entity, in a box labelled Custom Fields.
In some cases, you will need to scroll down the page to see these fields.Â
Displaying on an invoice
IF you would like your custom field(s) to display on an invoice, please contact support. A small charge for invoice layout changes applies.
