Update Overview
⚡️ What's New? ⚡️
🖥️ Datagate Portal
💳 Minimum Invoice Charge
Ensure every invoice meets your revenue threshold by setting a minimum charge for customers or agreements.

⚠️ Prevent incomplete invoices
You can now block invoice generation (interactive or auto-billing) if there are exceptions in input data (eBills or Usage).
To enable this feature, navigate to Settings/Invoicing and check the Invoice Generation Settings box(es) as appropriate.
View exceptions in Reports → Exceptions. Once resolved, the invoice can be generated, ensuring customers do not receive incomplete or empty invoices.
For auto-billing, errors are shown in the Run Task Details (Jobs menu). For interactive generation, errors appear directly on the screen.
🚨Be sure to monitor all invoicing errors, resolve exceptions and re-generate the invoices.
⬆️ Rate Cards
Rates are no longer restricted to 4 decimal places.
📊 Reports/Usage
The Agreement name has been added to this report.
📋 Exceptions Report
When exporting the Exceptions report, the Cost column is now included in the resulting file.
Customer Portal
🖥️ Login as
If you use the same Customer User to login into multiple Customer Portals, you no longer have to select the Customer User after choosing "Login As".
🧰Integrations
Quickbooks Online
☑️ Check Reference
If you add a Check/cheque to Datagate as payment for an invoice, the Check number will be sent to Quickbooks Online in the Reference field.
Xero
⌨️ Manually Exported Invoices
If a Datagate invoice has been manually added to Xero, for example, by typing it into Xero or uploading via CSV, the invoice in Datagate will be marked as Exported the next time the invoice and payment sync runs.
🚨 The Customer and the invoice number must match Datagate.
➡️ Export Paid invoices
Invoices that are paid through the Datagate portal, either through an integration such as Stripe, or manual entry of a check/cheque, can now be exported to Xero.
To do this, navigate to Settings/Integrations/ Xero and click Details.
Under Synchronization Settings, check "Sync DG Payments with Xero".
Select the "Xero Payment Account".
🔧 Include Service Items on Xero invoice lines
You now have the ability to include the Service Items on the invoice lines when exporting invoices to Xero.
To enable this functionality, navigate to Settings/Integration /Xero, and check the box "Add Service Items to Invoice Line Descriptions".
The Service Item(s) that are assigned to the Customer's Product will be appended to the invoice line description in Xero.
ConnectWise
🧾 Invoice Number Sync
Defaults are now populated for the Agreement and invoice number to be updated.
HaloPSA
🗄️ External Reference

💳 Payments
🔗 Payment link
If an invoice has been credited, the embedded link to pay that invoice will be made Inactive.
The Customer will not be able to pay the Credited invoice using the link on the original invoice email.
‼️ Overdue Notices
Overdue notices are now also sent to the "cc" and "bcc:" email address on the Organization.
Previously, these fields were only used for invoice emails.
To view the cc: and bcc: email address, navigate to Settings/Organization:
📊 Usage
📁 Feeds/Files
This menu option helps you check that all your Usage data has downloaded.
This should be reviewed before billing any usage to ensure all the data is up to date.
Passwords may have been changed, ftp locations and security can change etc. This screen gives you visibility that the data has been downloaded to Datagate.
We have enhanced sorting of this menu option, which should make reviewing easier.
🗂️ Bundles
We can now allow a Bundle to apply to a specific Site.
For example, Site A has 400 minutes, and Site C has 300 minutes (separately) before overage is charged.
If you are interested in this functionality, please contact support.
