💳 Accounts Receivable
Aged Balance report
The Aged Balance report has been enhanced to take prepayments into account when calculating outstanding balances, providing a more accurate view of customer receivables.
Available from Reports > Standard > Aged Balance.
Payments report
A new Payments report has been added, providing visibility of payments processed through integrated payment processors such as Stripe and Authorize.net.
Use the Settings option to filter the report by payment status, including Succeeded, Pending, and Failed payments.
Available from Reports > Standard > Payments.
Note: The report includes payments processed after this release.
Payments made via Payment processors (Stripe, Authorize.net etc)
Payments processed through an integrated payment processor (such as Stripe or Authorize.net) can no longer be deleted from Datagate. Rejected payments are normally updated automatically. If you need to reverse or correct one of these payments, create an Adjustment transaction instead. This provides a more complete audit trail.
Payment Status
We've improved the way the Invoice Payment Status is updated so that it correctly reflects changes to an invoice balance across all scenarios.
Quickbooks Online Integration
We've made behind-the-scenes improvements to the way payments are integrated with Quickbooks Online. These changes do not affect the user experience, and existing validation and business rules continue to apply.
Xero Integration
We've made behind-the-scenes improvements to the way payments are integrated with Xero. These changes do not affect the user experience, and existing validation and business rules continue to apply.
AR Adjustments
A new AR Adjustment transaction type has been added for customers whose Accounts Receivable is managed in Datagate.
AR Adjustments provide a controlled and auditable way to adjust a customer's outstanding balance without recording a payment. A customer-visible reference can be included on each adjustment.
AR Adjustments are intended for non-tax financial adjustments only, such as:
- Small balance or rounding adjustments
- Non-tax write-offs
- Other non-tax accounting corrections
AR Adjustments do not include a tax component and should not be used for changes that affect revenue or tax, such as discounts, price corrections, or other billing adjustments. These scenarios should be handled using the appropriate billing transaction (for example, a credit memo).
This feature is applicable where Datagate manages the customer's Accounts Receivable, such as when payments are processed through an integrated payment processor.
Cheques/Checks
Cheque/Check payments can now be allocated across multiple invoices. Any unapplied balance is displayed, making it easier to track the remaining amount available for allocation.
Allocating payments to invoices
Payments processed through an integrated payment processor are typically applied directly to an existing invoice. However, some scenarios may leave a payment amount unallocated, including prepayments, overpayments, or when an invoice has been credited and recreated.
Unallocated payment amounts can now be allocated to one or more invoices.
To allocate a payment, navigate to Customer > AR Transactions > Payments.
Overdue Notification email template
A new [OutstandingBalancePaymentToken] token is available in the Overdue Notification email template. This token generates a secure payment link that remains active for two weeks after the email is sent. Customers can use the link to pay their entire outstanding balance by credit card without logging in to their portal.
This feature is available only with payment processors that support anonymous payments.
🖥️ Main Portal
Invoices
- You can now edit Miscellaneous invoices.
- Select the invoice and choose Revert to Draft, make your changes, then regenerate the invoice using Generate Miscellaneous option. The invoice must be in Generated status. Invoices in Sent or Sent Manually status cannot be edited.
- You can now re-email invoices that are marked as Paid or Paid Manually.
- A new Usage Total column has been added to the Action Invoices tab, making it easier to verify usage charges before sending invoices.
Custom Fields
You can now create custom fields for additional entities. To create a custom field, navigate to Settings > Custom Fields.
The following entities are now supported:
- Products, including Product Transactions and Kits. Custom fields can be entered in the Product Templates, Product Transactions, Kit Templates, and when assigning a Product or Kit to a Customer.
- Organization/Organisation. Custom fields can be entered on the Organization screen and can be used to display organization-specific information on invoice PDFs.
Bundles (Usage Buckets)
A new setting, Adjust Cost Proportionally to Sell Price, has been added to Bundles. When Bundle processing reduces the Sell Price to zero, the Cost Price will also be set to zero.
Sites
You can now require a Site when creating or updating Products and Service Items.
This feature is intended for organizations that manage Products and Service Items within Datagate. It does not apply when they are imported automatically from a PSA.
When enabled, CSV imports and Public API requests must also include a Site. Otherwise, the operation will fail with a validation error.
This feature is enabled at the portal level. To enable it, please contact Datagate Support.
📋 Reports
Commissions
A new Payment Date column has been added to the Commissions report (Reports > Standard > Commissions).
Exceptions
You can now copy data from the Exceptions report and paste it into other screens or applications.
🧾 Ebills
A new Always use Pricebook Cost setting has been added to Pricebook Products. When enabled, the Pricebook Cost overrides any cost specified in the eBill record. Previously, the cost in the eBill record took precedence.
🌐 Public API
The following features have been released, and are documented in the Public API documentation:

🧰 Integrations
HaloPSA
If you import Service Items from HaloPSA into Datagate, they can now be associated with the appropriate Agreement. This happens automatically when Use Default Agreement is unchecked.
FlexPoint
Users of FlexPoint payment portal can now view the Datagate invoice PDF from the FlexPoint portal. For more information, please contact Datagate Support or FlexPoint.
🌎 Region-Specific Enhancements
USA
If you use the Avalara tax engine and a Minimum Invoice Charge, the additional charge applied to reach the minimum invoice amount is now allocated proportionately across all tax codes on the invoice.
Australia
You can now set a default IPND Type of Service for each Datagate Service Type.
To configure this, navigate to Settings > Integrations > IPND, then select the Datagate Service Type and its corresponding IPND Type of Service.
